The PBX in the cupboard has been going for fifteen years, yet every extension change means calling out the installer, calls go unanswered when the office is shut, and the salesperson working from home hands clients a personal mobile number. With cloud telephony your existing numbers carry on unchanged and staff answer from Teams, a mobile app or an IP handset, wherever they happen to be. Our part is the logical side: choosing the platform and carrier, coordinating the number port, designing how calls flow and getting queues, greetings and opening hours working. We do not install handsets or ship equipment.

Teams Phone

For firms already living in Microsoft 365: everyone takes calls in Teams on laptop or mobile, with their own extension and direct number. It reaches the public phone network via an Operator Connect carrier or Direct Routing.

Cloud PBX

For those not on Teams or wanting something independent: a hosted phone system with a mobile app, IP handsets and a web panel for changing hours and diversions without ringing anyone.

Porting

Main number, direct lines, 900 freephone numbers and company mobiles transfer to the new carrier without a single digit changing. We handle the paperwork and timetable so the switch happens on a set day and hour.

Call handling

Welcome greeting, option menu, departmental queues, overflow to the duty mobile and a calendar holding national and regional holidays plus the two local holidays of your municipality.

Recording and GDPR

Only with a clear purpose: a notice when the call starts, a retention period, restricted access and an updated record of processing activities, following AEPD guidance. We also draft the wording used to inform staff.

CRM and handsets

The customer record pops up in Bitrix24, HubSpot or Salesforce as the call arrives. Handsets and headsets are bought by you from our compatible list and registered by us remotely; your team just plugs them in.

A rollout for ten to thirty users usually wraps up in three or four weeks, most of it spent waiting for the port to complete.

Line and bill review

We go through the carrier's invoices and current setup. Lines that have been paid for over years without anyone using them are a regular find.

Call flow design

We map what happens to a call from the moment it arrives until someone answers or it goes to voicemail, in hours, out of hours and on holidays.

Pilot with one department

A small group works on the new system using a temporary number, so queues, greetings and handsets can be fine-tuned before everyone moves.

Porting and training

Numbers transfer on the chosen date. We stay connected all morning, check each scenario and run brief training over Teams.

A phone system that does not know your town's holidays answers as if it were Monday. National holidays load automatically on most platforms, but regional ones and each municipality's two local holidays change yearly and must be entered by hand. Skip that and the customer ringing on the day hears “all our agents are busy” rather than the closed message. We load the year's calendar and remind you when it needs updating.

Common questions

Mobile numbers typically move within one or two working days. Landline numbers depend on the carriers involved and on the paperwork being right, and generally take a little longer. Either way we fix a date, and your current lines work normally in the meantime.

Less than people expect: a single conversation needs roughly 100 kbit/s. Stability matters far more than speed, so we check your line's latency and packet loss and, where necessary, give voice traffic priority on the router or firewall.

Not yet. The old contract has to stay active until porting finishes, because cancelling early can lose the number, together with the one shown on your website, Google profile and invoices. We tell you the exact moment it is safe to cancel.

They can stay, via a VoIP adapter you purchase to our specification and we set up from a distance. Check first with your alarm company and lift maintenance firm which kind of line they require. In most cases the fax can simply give way to email.

No. Apply works remotely only: we configure the platform, accounts and call rules and give you a clear guide. Unpacking, plugging in and any cabling work are done by your staff or a local installer you appoint.
