IT outsourcing

Outsourcing IT is not about giving up control of it; it is about no longer relying on the goodwill of one individual. Apply takes on your daily systems workload as a team: staff requests, accounts, Microsoft 365, servers and backups. We always work remotely, over encrypted and logged connections, and response times go into the contract rather than a sales brochure.

A month of outsourced IT, in practice

The full detail becomes an annex to the contract. This is the usual scope for an advisory practice or a distribution business of around thirty people split between office and home.

Starters and leavers

A new colleague finds their account, licence, mailbox and folders waiting on day one. Someone leaving loses access that same afternoon, including the outside services people tend to forget: online banking, the ERP portal, the shop admin panel.

Servers and cloud

Windows Server and Linux, hypervisors, machines at Arsys, IONOS or OVHcloud, and the Microsoft 365 tenant. Patches go on in agreed windows, say Tuesdays after 21:00, always with a rollback option.

Backups that restore

At the frequency set in the contract we recover a real folder or a business software database into a test environment. We record whether it came back whole and how long it took, which is what counts on the day of an outage.

Laptops managed through Intune

The device ships from the supplier to the office or the employee's home and configures itself at first sign-in: policies, encryption, antivirus and apps. That keeps remote work agreements workable without anybody having to call in at the office.

Licences and suppliers

Microsoft subscriptions matched to actual headcount, renewals of .es domains and certificates, and dealings with the telecoms operator or ERP vendor on your behalf. If something needs hands, we guide one of your team over video.

A report you can act on

Requests handled, targets met, patch and backup status, and a brief list of topics for next quarter. It lets you approve a budget on evidence rather than guesswork.

Getting started

The handover is planned from day one, and its length depends on how large your environment is. It all happens online over Teams or Google Meet, with no rooms to book and no full days lost.

A video call with whoever knows your IT today. We come out of it with a rough map of users, systems and open issues.

Proposal and contract

Monthly fee, written scope and response times. Alongside the service contract, you sign the data processing agreement the GDPR requires.

Access handover

Credentials are gathered into a secure vault, monitoring agents go live, your setup is written down and employees learn where to raise requests.

Service and improvement

Daily requests handled, maintenance in fixed windows and, at regular intervals, a review of costs and risks with management.

What it costs

Your fee reflects the number of people and servers covered plus the response time selected. Figures exclude VAT, which is added at 21 %. Work outside the fee is charged at €75 per hour + VAT, and only with your prior approval.

Common questions

Usually not, and we would advise against it. A split works better: your colleague holds on to line-of-business software and internal projects, where their knowledge is hard to replace, and we absorb user support, updates, backup checks and holiday or sick-leave cover. That is cheaper than recruiting a second person and spares one employee from being the single point of failure.

We do not make visits; that is how the model works, not an occasional limit. If a plug needs pushing back in or the router wants a power cycle, our engineer talks a colleague of yours, or the local technician you already use, through it on a video call. Replacement kit comes from your normal supplier, and our team sets it up from a distance.

Quite the reverse: with no travel involved, distance stops mattering. The Bilbao office, the Getafe warehouse and the sales rep working from Tenerife all get the same service and the same targets, always on mainland Spanish time. What multi-site firms do benefit from is a single network design and one set of accounts, and that forms part of the initial remediation plan.

An Article 28 data processing agreement is signed before any engineer logs in; it names the processing concerned and sets log retention. Each session demands a second factor and leaves a timestamped trail. Our practice follows ISO 27001 principles and INCIBE recommendations, so if the AEPD comes asking, the record of every access and its purpose is ready to hand over.

It happens more often than you might think. Nearly everything can be recovered from your side: the domain is reclaimed from the registrar as its registered holder, Microsoft returns tenant control to whoever proves ownership, and computers allow a local account reset. We guide you through each step. From then on every admin account sits in your company's name, so if you ever switch again you take them with you without asking anyone.
