Leavers nobody tells IT about
We set up an offboarding routine. HR settles final pay, yet the licence keeps billing for months and the mailbox stays open.
A Zaragoza distributor with forty-five users pays for Microsoft 365 Business Premium across the board, including six warehouse operatives who only glance at email on their phones. Add three accounts for staff long gone, an Adobe plan charged to marketing and a Zoom subscription nobody remembers ordering. Together we work out who needs what; you purchase from the publisher and we handle the set-up. Since Apply sells no licences and receives no kickbacks, a larger invoice for you brings us no benefit.
One is aimed at teams that write code; the other at whoever keeps PCs and servers running. Either way we review your Microsoft 365 licensing along the way, because something is nearly always surplus or missing.
GitHub or GitLab, JetBrains, Copilot, CI/CD pipelines and a secrets vault. Everything in the company’s name, with freelancer access that lapses automatically and, where a client insists, source code hosted inside the EU.
Monitoring with Zabbix or an RMM platform, automatic inventory through GLPI or Intune, staged patching and remote support with session logs. Handy for a one- or two-person IT department and for the ENS asset register.
Trimming licences saves money faster than almost anything else in IT, and no system has to change. They are common in small firms and public bodies of every kind.
We set up an offboarding routine. HR settles final pay, yet the licence keeps billing for months and the mailbox stays open.
We match plans to roles. Someone using only email and Teams on a phone needs far less than the office worker living in Excel and SharePoint all day.
A single register replaces the guesswork. Canva charged to marketing, Zoom to the MD, an antivirus to the technician: nobody knows the yearly total.
Renewal dates go in a shared calendar with early warnings. An annual commitment renewed unchecked locks you into the same seat count for another twelve months.
We regularise or find an alternative. A copied AutoCAD on one laptop becomes very expensive the day the vendor requests an audit.
With Microsoft 365, when you cut seats matters as much as the price. On annual commitments, licence numbers can generally only be reduced in a short window after purchase or at renewal. A fifty-person firm discovering in February that eight seats bought in November are surplus will probably keep paying for them until the following November. So we record every renewal date and alert you weeks ahead. We confirm the exact terms with the vendor in each case.
Changes are made remotely through the Microsoft 365 administration portal and other vendor dashboards, using rights you delegate and revoke once the job is done.
A full list of spend: seat counts, actual activity from vendor usage reports, when each contract renews and which payment method it hits.
Plans fitted to how each group works, with a frank account of what a lower tier gives up, such as Intune, Defender or email archiving.
You buy from the vendor in your company’s name. We give you the exact products and quantities and make the change on the renewal date, with no double charges and no outage for users.
Joiners and leavers handled as they happen and, at the agreed interval, a one-page update covering seat numbers, cost, recent changes and the next contract due.
No. Apply has no reseller, distributor or partner status with any publisher, which also means no channel discounts are on offer. Purchases are made by your company, in its own name and on its own account. We advise on product, edition and quantity, then carry out the configuration. You pay only for our time, at €75 per hour + VAT or a fixed price, and no commission sways the advice.
It hinges on the product and on how much your staff numbers move. Annual terms are usually cheaper per seat but restrict when you can scale down; monthly costs more and bends more easily. A business with a peak season, such as a winery at harvest or a webshop at Christmas, often mixes both. We check current terms and show you each option as a yearly cost.
Chaos is the normal starting point. Installed software and real usage are matched against invoices, and each gap gets a specific action: top up, downgrade, cancel, or switch to free software where that is enough, for instance LibreOffice for staff who only open documents.
Hardware is outside what Apply supplies, and there are no on-site visits. Order from whichever supplier you normally use; on request we draft a spec so new machines suit your licences and join Intune automatically. A staff member unboxes and powers up each device using a guide we send; from there we carry on remotely.
The Red.es Kit Digital programme has categories for virtual office and workstation tools, but grants are processed solely through registered digitalisation agents. Apply is not one and does not handle those grants. If you are interested, check the current rules on the programme’s official website.
Send the list of software you use, or simply describe the situation. We suggest the right plans, work out the annual cost and flag spending you can drop.
