This service puts numbers behind the decision. We look at who logs in, which modules they use and what is planned for the coming year, then tell you which plan makes sense today. The licence is taken out in your company's name; we only charge for the time spent on the review.

Actual portal usage

Cloud or On-Premise

The cloud needs no administration and is ready straight away. On-Premise makes sense when data must sit on a server you choose, for instance in a data centre in Spain, or when you plan custom development on the code.

Buying it properly

The subscription is taken out in your company's name with its own billing details, so invoices reach the accounts team rather than someone's personal inbox.

Renewal calendar

We track the expiry date and warn you in good time, so renewal does not collide with August or the financial year-end.

Portal ownership

We check which account is registered as owner and help you regain control if it was left with a former employee or a previous supplier.

Pre-renewal review

A few weeks before renewal we go over the numbers again, because a company changes a lot in a year and the plan should keep pace.

A former employee's open account is a leak waiting to happen. Beyond the monthly cost, someone who has left but can still log in to the CRM may carry on browsing customers, prices and deals from home. Under GDPR that is a genuine risk. At every licence review we match the user list against current staff and close whatever is surplus, which usually saves money and plugs a hole in one go.

Common questions

In the cloud, the portal drops to whatever terms Bitrix24 applies to a lapsed subscription: fewer features and lower limits, with data still there but access restricted. Those rules change, so we check them ahead of the date. On-Premise, the main loss is updates, and within a few months that becomes a security problem.

Often, yes. A review of roles tends to uncover people who log in once a month to glance at a task and would be perfectly served by an email notification. Once accounts are tidied up, moving down a tier goes unnoticed by the team.

Either can comply. In the cloud you need to check where Bitrix24 keeps its data centres and sign its data processing agreement. On-Premise lets you decide the exact location, such as a server in Spain, at the price of maintaining it. We help you document either option in your records.

Yes, as soon as the portal holds personal data, and a CRM always does. Bitrix24 acts as a processor and the agreement has to be in place. We review the paperwork it provides, flag the points worth watching and tell you what to note in your records.

It is charged at €75 per hour + VAT, and a full review of a mid-sized portal usually takes a few hours. If you already have a Start, Business or Premium support plan with us, it can be covered there. Your company pays Bitrix24 for the licence itself.
