Process map
Before touching any settings we sketch the journey of a deal: how it comes in, who qualifies it, when it is quoted, what happens if the customer goes quiet. That map drives the pipelines and stages.
Take an electrical supplies distributor in Zaragoza with thirty staff. Orders arrive by email, by WhatsApp and over the phone; every sales rep keeps customers in a separate Excel sheet, and when someone goes on holiday nobody knows which quotes they had open. Bitrix24 can pull all of that into one place: CRM, tasks, internal chat, calendars and an intranet. Yet a portal left on its factory settings is usually abandoned within three months. Implementation is the opposite approach. First we learn how your company sells and organises itself, then we configure only what your people will genuinely use, in the order they need it.
We work in short phases. Each module goes live once the previous one has become second nature, because a portal with twenty half-configured features loses out to the familiar spreadsheet every time.
Before touching any settings we sketch the journey of a deal: how it comes in, who qualifies it, when it is quoted, what happens if the customer goes quiet. That map drives the pipelines and stages.
One pipeline for everyday sales and, where needed, another for key accounts, public tenders or after-sales, each with its own stages and fields. Only fields someone will actually look at later.
Microsoft 365 or Google Workspace mailboxes, website forms, live chat and WhatsApp Business through Open Channels. Every contact lands on the right record and is assigned by a rule, not by whoever happens to see it first.
Robots that create a follow-up task three days after a quote goes out, alert the manager when a deal has sat still for a week, or move the record along once payment arrives.
Quotes are prepared in the CRM and, once won, pass to Holded, a3ERP, Sage or Odoo over an API. Issuing Verifactu-compliant invoices stays with your invoicing software, which is where that obligation sits.
Tasks with a single owner and a due date, templates for repeat jobs, internal news, a staff directory, holiday requests with approval and a procedures library for people working from home.
Who sees which customers, who can export lists and how long an inactive contact is kept. We give you what you need for your record of processing activities.
A core CRM for one sales team can be live within two to three weeks. Integrations, the intranet and advanced automation are planned as later phases on their own timetable.
Two or three video sessions with management, sales and admin to agree the process, the essential data and who has the final say when opinions differ.
Pipelines, fields, permissions, email and forms. Just enough for the team to work on day one; everything else waits until this runs smoothly.
Customers and open deals imported from Excel or another CRM, after removing duplicates and contacts you no longer have grounds to keep.
Short role-based training using your own customers, followed by a few weeks of adjustments based on what the team asks for.
Start with one team, not the whole company. Rolling Bitrix24 out to sales, warehouse, admin and management at the same moment multiplies the questions and the pushback. A month-long pilot with the sales team works far better: rough edges get smoothed, the first visible wins appear, and other departments end up asking to join rather than feeling a tool is being forced on them.
Yes, from Excel, HubSpot, Pipedrive, Zoho or any system that can export. We check data quality first: duplicates, companies that have closed, contacts with no consent on file. Moving rubbish into a new system just relocates the problem.
WhatsApp Business connects through Bitrix24 Open Channels and a compatible connector. For telephony, your VoIP operator needs a Bitrix24 integration or a SIP connection; calls are then logged on the record and a missed call creates a task. It is all configured remotely using the details your operator supplies.
It has a time clock that logs start and finish times. That can be a foundation, but your employment adviser should confirm it meets what your collective agreement and Spanish law require, particularly around keeping and accessing the records.
It is billed by the hour at €75 per hour + VAT, with a firm estimate after the opening workshops. A core CRM for one sales team is a few days' work; integrations and the intranet are quoted separately and you sign off each phase before it starts.
You can carry on with hourly support or fold Bitrix24 into a Start, Business or Premium plan: adding and removing users, pipeline changes, new automation and answering questions, Monday to Friday, 9:00-18:00 Spanish time (CET).
Tell us how your sales team is organised, how many users the portal will have and which accounting software you use. We suggest a first-phase scope and a timetable.
