Say a renovation contractor in Zaragoza employs twenty-five people. Every salesperson quotes from a personal variant of the same Excel template, site reports turn up on WhatsApp, the foreman logs hours in a notebook, and at month end the office retypes the lot into a3ERP so invoices can go out. Nobody learns the true margin on a job until the job has closed. There is no requirements document in that company, and none is needed. What they need is someone who will sit down with the foreman, the office and the owners, work out where the hours leak away and propose the cheapest fix that works. Sometimes that fix is a program of their own. Sometimes it is a better set-up of what they already pay for. The serious risk in this kind of project is not sloppy code; it is carefully building something nobody will open, and our whole approach is designed to catch that early.

Process map

Video calls with the staff who do the work day in, day out. We come away with a picture of how information travels today, how many hours a month go on retyping and where mistakes creep in.

Buy or build

Before designing anything, we compare against what is already on the market: Odoo, Holded, an a3ERP module or a sector-specific tool. If one of them covers eighty per cent of the need, you hear it from us along with what you would give up.

Browser prototype

Clickable screens with no program behind them, so the foreman can say “I am never filling that in on site” before changing it costs real money.

Short build cycles

A new version every fifteen days on a staging server your users can log into. It gets reviewed in a half-hour demo and together we choose what goes into the next cycle.

Compliant invoicing

If the program raises invoices, it is designed from the outset for Spain's invoicing systems regulation: chained records, hash, QR code and, under the Verifactu option, transmission to the AEAT tax agency.

Hosting and security

Servers in the AWS region in Aragon, Azure Spain Central, or OVHcloud or Hetzner within the EU, with automatic backups, two-factor sign-in and activity logs.

Handover and upkeep

Repository, technical documentation, a short user guide and, if you want it, a maintenance agreement covering fixes, updates and small enhancements.

How the engagement unfolds, one stage at a time

Four stages, each with concrete deliverables. We set the calendar once stage one is done and we know how many business rules and integrations are involved.

Analysis

Process map, buy-or-build verdict, list of requirements and an estimate of cost and duration. Invoiced separately, and the document belongs to you.

Prototype

Key screens tested by your people and reworked until whoever will use them daily is happy.

First useful version

The bare minimum that fixes the main problem, used by a small group of real staff for a few weeks.

Full rollout

Data import, video call training for everyone else and hands-on support throughout the first month.

Keep some budget back for the old data. Bringing three years of quotes, customers and jobs into the new program usually takes more hours than any screen. You will find customers entered twice with the tax ID spelt three ways, jobs that never got a closing date, price lists nobody can trace. Someone at your company has to decide what gets cleaned, what gets dropped and what moves across untouched, and they need protected time to do it.

Common questions

Very little. It is enough to know which task you want to improve, who is involved and what software you run today. A real example, such as a quote, a site report or a spreadsheet, helps even more. We write the requirements together during the analysis.

That is normal and the method allows for it. Between one cycle and the next, outstanding work can be reshuffled without reopening the contract, provided the overall volume stays the same. If the scope itself changes, we put a written estimate to you first so the invoice holds no surprises.

The analysis has a fixed fee. The build is usually fixed-price per stage, because by then the scope is written down. Later changes are charged hourly at €75 per hour + VAT, with an agreed monthly ceiling.

Both sides. We write automated tests and check every version before showing it. Your key users try it on real cases from their working day, and they are the ones who spot the faults that matter. No stage is closed without your sign-off.

Some companies pay for digitalisation projects through Red.es programmes such as Kit Digital or Kit Consulting. Apply does not process those grants and cannot guarantee anyone will receive one. We do provide a clear technical brief, timeline and cost breakdown so your adviser can judge whether any call for applications fits.
