Backup implementation

Picture a twelve-person gestoría in Murcia. On a Monday at quarter-end, the server and NAS wake up encrypted by ransomware, and so does the USB drive plugged into the server. Nobody now cares which backup product was installed; what matters is how soon the firm can file tax returns again and how many days of work must be redone. That is exactly where we begin: together we agree how much each system can afford to lose and how long it can be down, and from those two figures we design, configure remotely and test the backups.

A backup nobody has ever restored from is a hope rather than a safeguard. So we design the copy and the routine that proves it works, in equal measure.

Pin down the details with one of our engineers

Data map

Where your data really lives: server, NAS, laptops, Microsoft 365, the clinic or practice software, and cloud services such as Holded or a3innuva, which have retention rules of their own.

Targets per system

For each system we set how many hours of work may be lost and how quickly it must be running again. Invoicing under Verifactu cannot tolerate the same delays as a five-year-old case archive.

Fast local copy

A NAS in the office taking frequent snapshots, so the file somebody deleted by mistake or yesterday's version of a spreadsheet comes back in minutes.

Off-site immutable copy

A copy away from the office with a European provider using object lock: throughout the retention period nobody can remove or alter it, not even with stolen admin credentials.

Microsoft 365 and Google Workspace

Mail, OneDrive, SharePoint and Teams, or Gmail and Drive, protected with an independent backup tool. Microsoft's recycle bin is no substitute for a real backup.

Monitoring and alerts

Each failed job notifies a named person at your company and our team. A job that goes quiet is treated as a failure, because it usually means the job has died.

Documented tests

Regular restores of files, databases and a complete server, each with a dated record you can show an auditor, an insurer or the AEPD.

First test

We bring back a whole server or database and time it. That real figure becomes your documented recovery target.

Microsoft 365 stores your data, but it does not back it up for you. Microsoft guarantees the service stays up; whatever a user deletes, whatever ransomware encrypts through OneDrive, or whatever disappears when a leaver's account is removed is your company's responsibility. Once the recycle bin period ends, that data is gone. An independent tenant backup costs little and prevents the most common nasty surprise.

Common questions

Three copies of your data, on two different kinds of storage, one kept off site, one immutable or offline, and zero errors in restore tests. The first three numbers are the classic rule; the last two are what genuinely protect you against modern ransomware.

It is wise. The vendor protects its platform, but if a user wipes invoices or someone logs in with a stolen password, getting your particular data back may be impossible or painfully slow. Where the software allows it, we schedule regular exports to storage you control.

Whatever suits your environment: Veeam for servers and virtual machines, Synology Active Backup if you already own that brand of NAS, dedicated tools for Microsoft 365 and, in very small firms, the NAS's built-in features. We are tied to no vendor and only recommend licences you truly need.

It helps directly. Article 32 of the GDPR calls for the ability to restore availability of and access to personal data promptly after an incident, and for measures to be checked regularly. Tested, documented backups are precisely that evidence, although full compliance covers more ground.

Our work is billed at €75 per hour + VAT or falls within the Start, Business and Premium plans; licences and storage are quoted separately. You buy the NAS wherever you like following our recommendation, someone on your team or your local technician connects it using an illustrated guide, and from then on we configure everything remotely.
